Workspace Credits & Allowances

How the shared credit pool works, auto-renewal, and managing team spending

Workspace credits work differently from your account credits. Instead of everyone having their own balance, the team shares a pool. Here's how it all fits together.

The Credit Pool

Every workspace has two credit pools:

  • Monthly pool — Resets each billing cycle. Funded automatically from the owner's account credits.
  • Top-up pool — Never expires. Funded manually by the owner when extra credits are needed.

When a member creates a visual, credits are drawn from the monthly pool first. Once that's depleted, top-up credits kick in.

Important: Workspace credits and your account credits are completely separate. If you switch to your own workspace and create something, it uses your account credits. Switch to a team workspace, and it draws from that workspace's pool.

Setting Up the Pool (One-Time)

The owner sets a pool size per cycle — this is how many credits get added to the monthly pool each billing cycle.

  1. Go to workspace Settings → Credits
  2. Enter the pool size (e.g., 500 credits)
  3. Click Set Up

This immediately deducts the amount from your account balance and funds the workspace pool. From now on, this same amount auto-deducts every time your subscription renews.

Validation: Your available account credits must cover the pool sizes of all your workspaces combined. If you own multiple workspaces, the total can't exceed your balance.

Auto-Renewal

Every billing cycle (when your subscription renews):

  1. Your monthly credits refresh as usual
  2. Each workspace's monthly pool resets and gets its configured amount
  3. All members' monthly usage resets to zero
  4. Top-up pool is untouched (it never expires)

If your account balance can't cover all your workspace pools at renewal, all auto-funding is skipped and you'll get an email notification. Pools reset to zero but member usage still resets — you just need to manually fund or reduce pool sizes.

Manual Top-Ups

Need more credits mid-cycle? The owner can add credits anytime:

  1. Go to workspace Settings → Credits
  2. Click Top Up
  3. Enter the amount

These go to the workspace's top-up pool (not the monthly pool), so they survive the next cycle reset. Credits are deducted from your account balance — monthly first, then top-up.

Member Allowances

You don't just dump credits in a pool and hope for the best — you set allowances for each member. Allowances are reservations — the credits are guaranteed to that member.

Each member gets two allowances:

  • Monthly allowance — Reserved from the monthly pool. Resets each cycle.
  • Top-up allowance — Reserved from the top-up pool. Never expires.

Example:

  • Monthly pool: 500 credits
  • Member A monthly allowance: 150 (reserved, guaranteed)
  • Member B monthly allowance: 150 (reserved, guaranteed)
  • Unallocated: 200 credits (can be allocated later)

Setting Allowances

Go to workspace Settings → Credits, find the member, and click Edit. You can set monthly and top-up allowances separately.

A few rules:

  • Only owners and admins can set allowances
  • Reviewers and clients don't get allowances (they can't create visuals)
  • You can only allocate up to what's available (pool balance minus other members' reservations)

Tracking Usage

Each member's usage is tracked individually. In the Credits tab, you can see:

  • Monthly allowance and how much is used
  • Top-up allowance and how much is used
  • A progress bar showing overall consumption

How Deduction Works

When a member creates a visual in workspace context:

  1. Credits come from their monthly allowance first, then top-up allowance
  2. The workspace monthly pool is deducted first, then top-up pool
  3. The member's corresponding usage count goes up
  4. The exact split is recorded for accurate refunds

Both the member's allowance and the workspace pool must have enough credits.

Refunds

If a generation fails, credits are automatically refunded to the source pool:

  • Credits that came from the monthly pool go back to the monthly pool
  • Credits that came from the top-up pool go back to the top-up pool
  • The member's corresponding usage count decreases

Nobody loses credits on failed generations, and credits always return to where they came from.

Common Questions

Can I set different allowances for different people? Yes. Give your most active creator a higher allowance and set a lower one for occasional users.

What happens when someone hits their allowance? They'll see an insufficient credits message. An owner or admin can increase their allowance at any time.

Do monthly allowances reset automatically? Yes. When the billing cycle renews, all members' monthly usage resets to zero and their monthly allowance is available again. Top-up usage is not affected.

Can I reallocate credits between members? Yes. Decrease one member's allowance, and those credits become available to allocate to someone else.

Are my account credits affected when working in a workspace? Never. Your account credits are completely isolated from workspace credits. Working in a team workspace never touches your account balance.

What's the difference between pool size and top-up? Pool size is the recurring monthly amount — set it once and it auto-renews. Top-ups are one-time additions that don't expire and don't reset.
